Posting Procedures

(to make the most of and protect the integrity of our Member-to-Member networking)

 

In order to build a stronger information network within the Door County business community - I invite you to e-mail promotional posters, flyers and/or Press Releases to phil@doorcounty.com to be considered for the Member News column of DoorCountyVisitorBureau.org or possible mention in the Bureau e-Reminder (e-newsletter).    Currently, we do our best to post all submissions but, until a strong enough system of support is created, please do not rely upon these resources for advertising.   They have been created as a tool to help educate and improve overall levels of hospitality in Door County.

Tips and Requirements for submitting PR, Events, Flyers and Posters

 

Posting Events to our Online Calendar

Preferred Method: Complete the online submission form on the members' site at: http://www.DoorCountyVisitorBureau.org/coe.htm

 

Alternative Method: e-mail the following to phil@doorcounty.com :

Name of the event

Date(s) of the event (Example: Friday Feb 1, or Friday Feb 1-Sunday Feb 3)

Time(s) of the event: (Example: Friday 11-7, Saturday 9-5, Sunday 9-3)

Location of the event  /  Year of event  /  Pre-registration required? (Yes or No)   /  Admission Fee? (Y or N)  /  If Yes, How Much?

Phone Number to Contact for more information  /  Website link for more information  /  Brief yet detailed description of the event.

 

Also include Contact information (not for publication) in the event a staff member has a question prior to publication on the Internet: Name, e-mail address and daytime phone number.

 

Posting Posters/Flyers/Brochures for the Members' Ready-to-Print page

This has proven to be a highly effective way to make your Posters, Flyers and/or Brochures available to other members - as they need them.  

Preferred Method:  Upload an "e-book" PDF of your Poster or Flyer and e-mail the URL to: phil@doorcounty.com 

Alternative Method: Because of the broad availability of the free Adobe Reader to anyone online, a PDF is preferred but, if you do not have the ability to "distill" your document into a PDF, simply e-mail it "as is" and I will do my best to get it distilled.  

 

Suggestions: If your ads were created by another individual or firm, chances are they would be able to distill and e-mail the final design to me.  To insure your message is accessible to everyone, it is important to have your PDF created with "e-book" settings.  It's definitely worth asking..

 

Posting Press Release in the "Member News" column of DoorCountyVisitorBureau.org

Preferred Method: Post your Press Release on your own site and e-mail the URL  phil@doorcounty.com (include a brief tag line and current logo if we don't have one - see "Logos" below)

Alternative: e-mail your Press Release to phil@doorcounty.com (attach a Logo if we need one - see "Logos" below)

Required either way: Your Press Release must contain the elements of an AP style Press Release including, but not limited to, 1.) Headline; 2.) Contact Information; 3.) First paragraph, not more than 2 sentences containing: Who, What, Where, When and Why;  4.) Additional information;  5.) Boiler Plate about your organization.  If any of these elements are missing, your information might not be posted.

 

Broadcast E-mail

The purpose of Member-to-Member e-mail is to enhance communication within our business community.  Member-to-Member e-mail is not intended for sales promotions, solicitations or political promotion - with the exception of Business Services or Community Events.    In essence, it must be newsworthy.  This service is offered to members for $25 per e-mail.  Your announcement will be sent to our permission based e-mail list - in conformance with the Canned SPAM act. 

 

Requirements: Any memo considered for broadcast must be submitted via e-mail in simple html or plain text.  Graphics are limited to one web ready logo and one photo (reduced to a 72dpi and less than 300 pixels wide - larger photos may delay or prevent posting.)  It is recommended that your e-mail be as short as possible and you are encouraged to include hyperlinks to your own website and/or a printer-friendly poster/flyer for additional information.  It is important to include your e-mail address as well.

 

Announcements must be submitted a week in advance.  This service is offered as a communication tool and should not be regarded as advertisement.

 

Promotion of "Sales" or "Specials" are not appropriate. 

We reserve the right to place additional conditions on this policy for any reason for the prevention of misuse or abuse of this service or the invasion of member privacy.

Preferred Method: E-mail your Member-to-Member memo for consideration to phil@doorcounty.com

Important Note: Member-to-Member e-mail is not to be misunderstood as an endorsement or opinion of the Bureau - they are simply relayed from members - to members.

 

Logos

Preferred Method:  web-ready jpg; jpeg or gif formats are preferred.  Vertical logos should be no more than 100 pixels wide, with a resolution of no more than 150psi and, Horizontal logos may be 150 - 200 pixels wide, with a resolution of no more than 150psi.

Alternative Method: e-mail your logo and I will reformat or resize as needed.

 

Timing

Preferred Method:  e-mail one week in advance of desired posting date.

Although I will try, I cannot guarantee the posting of anything.  Events that affect the overall occupancy of the County will be considered for the e-Reminder preceding the event.  This is offered as an educational tool for members and not intended as a means of advertising.  It is my belief that we are servicing the customer best when our "frontline employees" know what's going on and able to answer questions.

 

We reserve the right to change or discontinue this service or it's policy at anytime and for any reason.  Any and all promotions submitted for publication without additional charge may or may not be posted.  Individuals submitting promotional information shall remain entirely responsible for accuracy and shall hold the Bureau and its employees harmless in the event of an error with the only means of resolution being limited to republishing the corrected information after written notification of the error.
